Donors & Giving

Every gift, on the right donor record.

Enter a stack of checks in one batch, track pledges, funds and in-kind gifts, send receipts and giving statements, and keep QuickBooks Online in step. Every gift lands on the donor’s record, so the whole team sees the same history.

How giving runs

From the mail pile to the year-end statement. Gifts, pledges, receipts, appeals and the books, worked from the same donor records.

A stack of checks, entered in minutes. Set the fund, tender type and source once for the batch, then enter each donor, amount and check number. Every row is saved as you add it, and the batch total checks against the deposit slip.

Batch entry

One deposit. Four donor records. Each check in the batch is saved as it’s entered, so the gift is on the donor’s record before the next envelope is open.

Donor management

Everything a development team needs. From the first gift to the year-end statement, on the same donor record your whole team uses.

  • Donor profiles and giving history

Each donor record shows giving highlights (this year, lifetime, last gift, first gift, number of gifts) above a timeline of gifts, calls, notes and emails.

  • Households

Group a family into a donor household, and send one household giving statement instead of two.

  • Contribution batches

Enter checks from the deposit slip with the fund, tender type and source set once for the batch. Each row is saved as you add it.

  • Pledges

Record the amount, frequency and number of payments. The pledge tracks its schedule, payments received and balance, and pledge status letters print from the list.

  • Funds and sources

Code every gift to a fund, with an optional goal and dates, and to a source like a mail appeal or your website, so you know what each appeal raised.

  • In-kind gifts

Log donated goods with a description, received value, fund and source, on the donor’s record next to their gifts.

  • Receipts and giving statements

Gift receipts, thank-you letters and year-end giving statements come from editable templates through document and email merge.

  • Segments, including lapsed donors

Filter donors by last gift date, amount, fund or source. “Gave last year, not this year” is one filter, and any segment can be charted.

  • Plus and up

    QuickBooks Online sync

Contributions sync to QuickBooks Online, coded by the QuickBooks product mapped to each fund, with sync health on one screen.

  • QuickBooks Desktop export

Close a GL batch and download the export file for QuickBooks Desktop.

  • Online and recurring giving

Gifts through CoolPay, one-time or recurring, land on the donor record on their own. Processing fees apply to online gifts.

  • Premium

    Event tickets and sponsorships

Tickets, sponsorships and event gifts are contributions on the donor record, with the deductible amount figured from each ticket’s fair market value.

CoolPay processing fees apply to online gifts. See CoolPay fees

Give your donors one record.

Batch entry, pledges, receipts, statements and QuickBooks Online sync, on the same platform as the rest of your ministry.
