    CoolPay transaction fees

    CoolPay is included with every CoolFocus plan. Processing fees apply only when gifts are processed through CoolPay.

    Transaction rates

    • Cards (credit/debit) — 2.9% + $0.30 per successful transaction
    • ACH bank transfers — 2.0% + $0.30 per successful transaction

    Other notes

    • Donors may be offered the option to cover fees at checkout.
    • Paid ticketing, sponsorships and peer-to-peer gifts are processed through CoolPay. Free events don't require CoolPay.
    • There are no separate CoolPay payout fees to deposit funds to your bank.

To choose and save the plan for your organization:

  • Sign in to CoolFocus 5 with your administrator account
  • Open Settings → Plan & Billing
  • Pick the tier that fits your team
  • Save

If you usually work in the previous version, use Prepare for CoolFocus 5 in Settings to open the same plan screen in CoolFocus 5.

Is there a limit on users or locations?

No. Every plan includes unlimited users, unlimited contacts, and unlimited locations.

What costs are there beyond the plan?

Text usage fees apply when CoolFocus sends or receives an actual SMS or MMS, and Plus and Premium Inbox require a one-time $150 setup fee when two-way messaging is enabled.

CoolPay is included with every plan; processing fees apply only when gifts are processed through CoolPay. The footnotes under the comparison chart list the rates.

Which plan includes the national call center integrations?

Every pregnancy-center plan, Core and up. OptionLine is two-way, and Options United, Infinite Worth, HopeSync: Clara AI, Olive & Chloe, and LifeLead book into your CoolFocus schedule.

Do I need Plus for QuickBooks?

QuickBooks Online sync is included in Plus and Premium. Every plan can download a QuickBooks Desktop import file for each GL batch; that’s an export, not a live sync.

We’re switching from another system. Can you help move our data?

Yes. Data import and migration assistance is available by request on every plan, for an additional fee. A switch starts with a data assessment, so you know the scope and cost before anything moves.
